Configuring Gmail POP on Lotus Notes
I was very happy going back to using Lotus Notes after working with Microsoft Exchange and Outlook. I started my career with Lotus Notes but a change of jobs and priorities made me switch to Microsoft Outlook. Again a new assignment brings me back to using Lotus Notes. Over the years, I also started using Gmail and like to configure it as POP where I can download and read my email at leisure (if there is such a thing).
Using a mail client shouldn't be this hard. Lotus Notes seriously lacks the ease of use, slickness and end user oriented features.
Using a mail client shouldn't be this hard. Especially after coming back from Microsoft Outlook I felt that Lotus Notes seriously lacks the ease of use, slickness and end user oriented features (try adding a colourful signature and then tell me) that are a given with Microsoft Outlook. But that's material for another blog post. Just skimming through the options and configuration I could not easily find a way to configure a POP account. Of course you are asked about configuring different types of account during your first setup but if you want to configure a Domino server then basically you don't have options but to skip others and configure a Domino server only.
I tried configuring Gmail and ended up spending almost two full days in finding out the correct method. Of course there are some articles on the web which document the way to configure Gmail in Lotus Notes. But all of them fall short of giving out the complete procedure. I somehow managed to piece together the story by reading the articles, Google group posts and help. I hope this will be complete in all respects.
1. Create a Lotus Notes database file to store your POP emails: Lotus Notes does not create a file automatically as Thunderbird or other mail clients do but you have to manually point the mails to flow to a file that is already existing.
2. In the local Address Book, create two accounts for accepting incoming email and sending outgoing email on Gmail. Names are not important but the configuration on the two accounts is!
Account document for Incoming Gmail:
The Basics tab
a. Account name: Can be anything (I chose In Gmail)
b. Account server: pop.gmail.com
c. Login Name: Your gmail email address (complete with the @gmail.com)
d. Password: Your password
e. Protocol: POP
f. SSL: Enabled
g. Only from Location(s): Doesn't matter. Although I would recommend creating a location document specific for Gmail if you are also using Domino Server. I chose creating a location (Gmail).
Protocol Configuration tab: There is only one field here and it doesn't matter what you do with it.
Advanced Tab: This is the most important tab.
a. Port Number: 995
b. Accept SSL site certificates: Yes (Most of the articles on the web tell you to choose No here. But it does work. Trust me. I have tried it)
c. Accept expired SSL certificates: Yes. (Most of the articles on the web tell you to choose No here. But it does work. Trust me. I have tried it)
d. Send SSL certificates when asked (outbound connections only): No.
e. Verify account server name with remote server's certificate: Disabled
f. SSL protocol version: V3.0 with V2.0 handshake
3. Click on Save and Close to save the document and exit. Now you will need to create another account document to handle the outgoing email.
Account document for Outgoing Gmail:
The Basics Tab
a. Account Name: Can be anything. I chose Out Gmail
b. Account server name: smtp.gmail.com
c. Login Name: Your gmail email address (complete with the @gmail.com)
d. Password: Your password
e. Protocol: SMTP
f. SSL: Enabled
g. Only from Location(s): Doesn't matter. Although I would recommend creating a location document specific for Gmail if you are also using Domino Server. I chose creating a location (Gmail).
Advanced Tab: This is the most important tab.
a. Port Number: 587 or 465 (Both are SSL port and both work)
b. Accept SSL site certificates: Yes (Most of the articles on the web tell you to choose No here. But it does work. Trust me. I have tried it)
c. Accept expired SSL certificates: Yes. (Most of the articles on the web tell you to choose No here. But it does work. Trust me. I have tried it)
d. Send SSL certificates when asked (outbound connections only): No.
e. Verify account server name with remote server's certificate: Disabled
f. SSL protocol version: V3.0 with V2.0 handshake
4. Once these two documents are created, I would recommend creating a location document to ensure that you separate your gmail from your other Domino based account on the client. The steps to create are:
5. In the same local Address Book, choose New --> Location
Basics Tab:
a. Location Type: Local Area Network
b. Location Name: Can be anything (I chose Gmail)
c. Internet Mail Address: Your gmail email address
Leave the rest as it is.
Servers Tab:
a. Home/Mail server: pop.gmail.com
Leave the rest as it is.
Ports tab: No changes (ensure TCPIP is checked)
Mail Tab (Most important):
a. Mail file location: Local
b. Mail file: My Gmail.nsf (whatever you created in step 1 above).
Update: A couple of readers pointed out that I had missed an important step in the configuration how-to. So here it is. Step C has been added to include the missed step.
c. Internet domain for Notes addresses when connecting directly to the Internet: gmail.com
d. Send Outgoing mail: directly to Internet
Leave the rest of the fields as it is.
6. There is no need to change the rest of tabs. Click on Save and Close to create the document.
Change to the the new location and you will see Gmail getting downloaded in the mail file you created.

In the location setting there's a step missing as you will need to enter an Internet domain for Notes addresses when you set send outgoing emails directely to the internet
There's a step missing...when you set up sending emails on directely on Internet you will need to enter the domain (gmail.com) for that case...and also imap worked for me...which is much better than pop...

Hi I cannot edit the home/mail server when creating the gmail location. It wont let me write anything.
I used this today and it worked great. Can't seem to get it to work for yahoo plus. Any idea what settings are different?

Thanks for your instructions. Now i'm able to send mails, but still have problems with incoming mail. When I replicate my mail's database, I have the following error:
"Replicator error, SSL bad peer certificate. Connection refused, replicating database at 13:10".
I have no idea how to fix it.

Hi Luciano,
You might want to check the ports that you have used on the Advanced tab, and make sure you enter your entire gmail email address (john.doe@gmail.com) in the Login Name field for the SMTP account. Also, to successfully send mail, try editing your current location document and in the Mail tab set "Send outgoing mail" to "directly to Internet". At the same time, dont forget to look at your certificates in security section. i had to accept all of them to be able to send and recieve gmail. you may want to check that out as well.

I'm able to receive mails but not to send mail.
I've tried both 587 and 465.
The message in replication is "The server is not responding" but I can see it is alive e.g. by telnet.
Any ideas?

i can send emails but i cant receive!!!!!!!
It work for me. guys you have to check and double check your settings.. what I did different from what it says here is that my account name for both receiving and sending is the same as the account server name eg pop.gmail.com and smtp.gmail.com. Also pay attention on that particular setting of location under mail tab that mukul comment
by the way, i'm ussing the lotus notes 8.5 basic beta release.
I'm trying to setup my gmail in my office laptop where I already have one lotus domino email setup.
I tried all settings, but getting these errors
Sending: The remote server is not a known TCP/IP host
Receiving: SSL Error: Invalid SSL message
Under connection>Advanced>SSL> Accept SSL site certificates & accept expired SSL certificates are Yes.
SSL Protocal version>V3.0 with V2.0 handshake
I also have entered proxy server, userid and password in Basics tab.
Under Connection>Servers>Home/mail server is pop.gmail.com and rest other items are blank.
I'm using Notes 6.5
I just installed Lotus Notes 8.5 and have followed all instructions (except that the mail file was created automatically). I do not access a Domino server. I can send e-mail but do not receive e-mail. I do however not get any error message.... so do not uderstand why e-mail is not being received... Any suggestions?
sirji i have one doubt that who to create the accounts in the local address book, i am using client version of lotus notes6.5.4, i request you to please help me out.

Dear All,
I had configured lotus notes for my GMAIL account as per above steps perfectly. It works fine.
BUT, when i replicate to receive my mails from the GMAIL account, it shows the mails received with the current date-n-time of my system NOT the actual time(when the mail actually came 2 my GMAIL account). This causing a miss-conception in the timings of the received mails.
Please suggest...

It seems you did a great job giving the full instruction from step 2 to step 6. However, some people like me don't know how to do the step one. I followed everything to the line but its still not working for me. I got an error that says "Error logging into server imap.gmail.com: SSL Certificate is invalid." Please teach me how to fix this. Thank you very much!

configuring g mail, y mail, rocket mail, is not impotent, tell me is it any security for lotus notes, what is the extension of lotus note, where the file is saved default, is it client-server system or it will work on end user, where home user. i don't have any data base, by installing lotus notes can i use only pop account in that, by default up to how many profile it will support, please give me proper answer for that, be-cos from 5 years i am just working on micro soft mail client

Well, in here the most weird issue happened. I did receive for lotus notes 8.5 incoming folder all e-mails I never had sended out from there. Replication took a few hours.
I can send e-mails, but not actually receive (anything other besides the e-mails I had sended myself > they all appears to my inbox). Kind of funny moments what I had wrote 5-7 years ago.
However, at so far this was best documentation how to implement this, all others google searched pages related for subject missing a real of lot details like editing ports numbers. Without modifying them, nothing happened - lotus notes just gave server not responding messages.
How an earth IBM / Notes progmammers made this so difficult to handle !
If you feel that Lotus Notes seriously lacks the ease of use, slickness and end user oriented features, why do you say that you are very happy going back to using Lotus Notes after working with Microsoft Exchange and Outlook?
Click Tools > Client Reconfiguration Wizard from the address book and let Notes do it all for you.
Why would you ever want to migrate mail from Gmail to Lotus Notes ? Lotus notes is easily the worst POS email application on the market. Everything in it, is more cumbersome and time intensive, it is literally a step back 20 years with email.
I found this article as I was trying to find a way to bypass the incredible piece of garbage Lotus Notes and use my Gmail instead. However it looks like the antiquated U.S. corporation run by accountants that bought out our company has killed off any hope of Outlook or Gmail in my current company.
If anyone knows how to bypass the Lotus Notes and some how use Gmail without just forwarding the email from to , please post it, I would be very grateful to never look at the Lotus Notes interface again.

"under location document choose advanced tab - and then choose SSL tab - Accept SSL & set SSL protocol version to V3 with V2"
